Logging Customer Correspondence

When you correspond with a customer, you can log the correspondence for the historical records. This includes emails, conversations, letters, telephone calls, and any other contact method.

To log customer correspondence
  1. On the Tools menu, select Correspondence > Add Correspondence.

    The Add Correspondence Log window appears.

  2. Select the site from which the correspondence originated from the Location drop-down list.
  3. Select the communication method used from the Method drop-down list.
  4. Type the subject of the communication in the Subject box.
  5. Under Received Date, do one of the following:
  6. Type additional correspondence details in the Comment box.
  7. Under Parties, click Add Customer.

    The Search window appears.

  8. Enter parameters to find the customer you want and click Search.
  9. If only one customer is found in the search results, the customer is automatically added to the Parties area of the correspondence log.

    If more than one customer is found, double-click the customer you want to add in the search results. The window closes, and the customer is added to the Parties area of the correspondence log.

  10. Click Save.

    The correspondence record is saved, and the window closes.
