Entering Information on a Prequalifier Window

On most prequalifier windows, you can enter either a full vehicle identification number (which can be the VIN, title number, plate number, or any other number that uniquely identifies the vehicle) or a full customer identification number (which can be the driver's license number, SSN, or any other number that uniquely identifies the customer).

Important: For efficiency, complete the prequalifier window with the most specific information you can. Any information you do not enter on the prequalifier window, you can enter on the transaction window.

Even if you don't know the last six characters of a VIN or any full vehicle or customer identification number, you can still search if you know the first characters of the identification number, as follows:

  1. On the prequalifier window, enter only required information; for example, date.
  2. Click Continue.

    The Search window appears.

  3. Click the Vehicle or Customer tab, as appropriate.
  4. Clear the Exact Match check box.
  5. Enter the first characters of a partial identification number.

    Tip: If you don't remember the full VIN, you can enter a short VIN. To do so, type a forward slash followed by the final six characters of the VIN. For example, you might enter /456789.

  6. In the Identification Type field, select the type of identification associated with the partial identification number you just entered.
  7. Click Search.

When the transaction window opens, it includes the vehicle and customer information you entered on the prequalifier window or selected on the Search window.

The following table describes the results you can expect from a prequalifier window.

You enter a partial vehicle identification number (other than a short VIN)

The Search window appears, listing all vehicles that begin with the numbers you entered. Double-click the vehicle you want.

You enter a partial customer identification number

The Search window appears, listing all customers that begin with the numbers you entered. Double-click the customer you want or add the customer record if it is not in the database.

You enter a vehicle that does not exist in the database

The Search window appears without any search results. Click Add Vehicle and add the vehicle using the Vehicle Maintenance window. You can click Search Similar Vehicles and populate vehicle data based on the results from similar vehicles.

You enter a 17-character VIN and the vehicle does not exist in the database but the vehicle type is in VINA

Many of the vehicle details will be automatically populated from VINA when you add the vehicle. If the vehicle details come from VINA, the vehicle is automatically certified.

You enter a customer who does not exist in the database

The Search window appears without any search results. Click Add Customer and add the customer using the Customer Maintenance window.

You enter either the vehicle or a customer that has a transaction on hold

The Print Replacement Title window appears. To re-open the held transaction, double-click it. To proceed with the new transaction you started instead, click Cancel.

Only one vehicle and customer matches the respective identification numbers that you enter

You proceed directly to the transaction window. The vehicle and customer information is populated from the database.
