Manage Orders Window

Use the Manage Orders window to view orders, place orders, and cycle orders through different statuses, including rejected, pending, ordered, local approved, final approved, completed, and back-ordered.

Common Area

Use the common area at the top of the window to enter parameters to find the order you want to view or modify.

Window element	Usage
Filters	Inv Location Group—Click the inventory location group in which you want to find orders. Inv Class—Click the inventory class for which you want to find orders. Standard—Click to find orders for standard inventory. Special—Click to find orders for special inventory. Continue—Click to find inventory orders based on the parameters you entered. Reset—Click to reset the search parameters.
Cancel	Click to close the window.

Orders Tab

Use this tab to view and modify existing inventory orders.

Manage Orders window, Orders tab element descriptions

Window element	Usage
Order #	Displays the order number.
Class and Type	Displays the category and kind of inventory ordered, such as Placard and Temporary Placard.
Date Needed	Displays the date the inventory is needed. You can modify this date.
Est Delv Date	Displays the estimated delivery date of the inventory.
Status	Displays the status of the inventory order. You can modify the status.
Unit Price	Displays the price of the inventory item per unit.
Qty Ordered	Displays the number ordered.
Qty Appvd	Displays the number approved to be ordered. You can modify the quantity approved.
Qty Recvd	Displays the number received to date from the order.
Comment	Displays any comments regarding the order. You can modify the comment.
County	Displays the county that ordered the inventory.
Spec Order Plate #	If the order is for a special plate, displays the plate number.
Vendor	Displays the vendor from whom the inventory was ordered.
Delivery Address	Displays the address to which the inventory will be delivered. You can modify the address.
Begin Item#	Displays the beginning item number of the inventory.
End Item #	Displays the end item number of the inventory.
Handicapped	Displays the inventory type related to the order as handicapped.
Shipping	Displays the shipping information of the inventory item.
Late	Displays a check mark in the box if the order is being delayed past the original due date.
Inventory Analysis	Qty On Hand—Displays the total number of the corresponding inventory type currently on hand and the number of business days this inventory is projected to last. Appvd On Order—Displays the total number of the corresponding inventory type currently approved on order and the number of business days the inventory on order is projected to last. Pend On Order—Displays the total number of the corresponding inventory type currently pending on order and the number of business days the inventory on order is projected to last. Est On Hand—Displays the total number of the corresponding inventory type on hand and approved for order minus the projected number that will be used while waiting for the order to arrive (displayed under Est Usage). Also displays the number of business days that the entire number on hand is projected to last. Std On Hand—Displays the total number of the corresponding inventory type that should generally be kept on hand and the number of business days that the standard amount is projected to last. Appvd Amount—Displays the maximum number of the corresponding inventory type that you can order at this time based on the estimated on hand amount and the standard on hand amount. Also displays the number of business days that the approved amount is projected to last. Dly Usage—Displays the projected number of the corresponding inventory type used on an average day. Est Usage—Displays the projected number of the corresponding inventory type used while waiting for a new order to arrive. Deviation—Displays the percent over or under the standard quantity on hand. This percentage is calculated by dividing the estimated number on hand by the standard number on hand. For example, if you currently have 158 of a specific plate on hand, and the standard quantity on hand is 100, then the deviation is 58%. If you currently have 100 on hand, and the standard quantity on hand is 200, then the deviation is -50%. Change Status—To change the status of the selected orders, click a status and click Change Status. Save—If you modify an inventory order, click to save the changes. Revert—Click to revert the window information to the values that appeared when it opened.

Place Orders Tab

Use this tab to view inventory on hand and to order inventory.

Window element	Usage
Inventory and Order Data	Days View—Select to see the quantities on hand in terms of daily usage. Sugg Ord (ea)—Displays the suggested number of the corresponding inventory type to order today. Class & Type—Displays the inventory category and kind of each line of inventory, such as Placard and Temporary Placard. Unit Price—Displays the price of the inventory item per unit. Qty On Hand—Displays the number currently on hand for the corresponding inventory type. You can view this in terms of inventory quantity or days that the inventory is expected to last (select Days View). Approved Qty On Order—Displays the number currently approved on order for the corresponding inventory type. You can view this in terms of inventory quantity or days that the inventory is expected to last (select Days View). Pend Qty On Ord—Displays the number currently pending on order for the corresponding inventory type. You can view this in terms of inventory quantity or days that the inventory is expected to last (select Days View). Typ Daily Usage (ea)—Displays the total number of the corresponding inventory type used on an average day. Lead Time—Displays the recommended lead time for ordering. Est Delv Date—Displays the date on which an order placed today is estimated to arrive. An active plus/minus sign next to an inventory type indicates an outstanding order for that type of inventory. If you click the plus sign, the following information expands. Order #—Displays the order number. Status—Displays the current stage of the corresponding order. Qty Ordered—Displays the number ordered in the corresponding order. Qty Appvd—Displays the number approved in the corresponding order. Date Needed—Displays the date when the inventory in the corresponding order is needed. Est Delv Date—Displays the estimated delivery date for the corresponding order. Comment—Displays order comments.
Place Order for Inventory Type	Vendor—Displays the standard vendor from whom the selected type of inventory is ordered. Location—Click the site for which you are ordering the inventory. Description—Click the specific delivery address at the location to which you want to inventory to be delivered. One location can have multiple delivery addresses. Attn. Name—Enter the name of the person to whose attention the inventory should be sent. Date Needed—Enter the date on which the inventory is needed. Comment—Enter any comments about the order. Est. Delv Date—Displays the estimated date when the inventory will be delivered. Address Line 1—Enter the first line of the delivery address. Address Line 2—Enter the second line of the delivery address. City/State—Enter the city and state of the delivery address. Zip—Enter the zip code of the delivery address. County—Displays the county for which the inventory is being ordered. This populates based on your user location profile. Est Qty On Hand—Displays the estimated quantity of the corresponding inventory type currently on hand. Std Qty On Hand—Displays the quantity of the corresponding inventory type set as the recommended number to have on hand. Est Usage—Displays the estimated number of the corresponding inventory type used on an average day. Qty (ea)—Enter the total number you want to order. Handicapped—Select if the order requires handicapped inventory. Comment—Displays order comments. Place Order—Click to place the inventory order. Reset—Click to reset the order information.

Est Delv Date—Displays the date on which an order placed today is estimated to arrive.

An active plus/minus sign next to an inventory type indicates an outstanding order for that type of inventory. If you click the plus sign, the following information expands.

Order #—Displays the order number.
Status—Displays the current stage of the corresponding order.
Qty Ordered—Displays the number ordered in the corresponding order.
Qty Appvd—Displays the number approved in the corresponding order.
Date Needed—Displays the date when the inventory in the corresponding order is needed.
Est Delv Date—Displays the estimated delivery date for the corresponding order.

Place Order for Inventory Type

Vendor—Displays the standard vendor from whom the selected type of inventory is ordered.
Location—Click the site for which you are ordering the inventory.
Description—Click the specific delivery address at the location to which you want to inventory to be delivered. One location can have multiple delivery addresses.
Attn. Name—Enter the name of the person to whose attention the inventory should be sent.
Date Needed—Enter the date on which the inventory is needed.
Comment—Enter any comments about the order.
Est. Delv Date—Displays the estimated date when the inventory will be delivered.
Address Line 1—Enter the first line of the delivery address.
Address Line 2—Enter the second line of the delivery address.
City/State—Enter the city and state of the delivery address.
Zip—Enter the zip code of the delivery address.
County—Displays the county for which the inventory is being ordered. This populates based on your user location profile.
Est Qty On Hand—Displays the estimated quantity of the corresponding inventory type currently on hand.
Std Qty On Hand—Displays the quantity of the corresponding inventory type set as the recommended number to have on hand.
Est Usage—Displays the estimated number of the corresponding inventory type used on an average day.

Handicapped—Select if the order requires handicapped inventory.
